On-Site Studio Headshots

Mike brings the studio to you. Save Time, Save Money.

Indy Headshots On-site Studio Space Requirements

Space needed:

Minimum – 7′ Wide X 15′ Deep

Preferred – 10′ Wide X 20′ Deep

Ceiling Height – 8′ Minimum, 10’+ Preferred

 

  • Low ceilings hinder proper lighting, especially if standing poses are requested (not recommended.)
  • Electricity not necessary. Studio is self contained.
  • No special room lighting is needed. Direct harsh sunlight through a window may need controlled with blinds (very rare.)

 

Full payment is required to reserve your session date. This confirms your booking and holds your session date. Payable by credit card (processed by PayPal) or check. Payment is non-refundable. Any incurred extra fees are billed on a final invoice. Any remaining balance is due before delivery of final product. Images are currently delivered digitally via the web.

Session fee is $120 per person. The minimum cost for an on-site session is $600, which includes up to five people, 50 minutes of photography time, studio setup and tear down and travel within the standard service area. Additional time is billed at $180 per hour. Extra people are billed at $120 per person and include 10 minutes of time.

Your session fee is based on the number of individuals reserved in advance. Please ensure all participants are aware of their appointment time and are present on the day of the session. If fewer people are available on the day of the session, the full session fee still applies. No refunds will be issued for no-shows or last-minute cancellations. You’re welcome to substitute a different person in their place.

  • Note on Group Discounts: Group discounts are based on the number of people booked. If the final headcount drops below the minimum required for the discount, we’ll adjust your session total to reflect standard pricing
  • If you’d like to add more participants, just let me know at least 72 hours in advance so I can make sure I’m prepared to give everyone the same great experience. Surprise additions on the day may not fit into the schedule.

If you want to offer goodwill in certain cases, you might allow:

While our standard policy is that no-shows and day-of cancellations are non-refundable, we understand unexpected situations can arise.

In some cases — and with at least 48 hours’ notice — we may offer:

  • A credit toward a future session (valid for 30 days), or

  • A partial refund at our discretion.

Please note this is considered a courtesy and is not guaranteed.

  • A credit toward a future session for the absent person (must be used within 30 days).

  • A partial refund only if notified at least 72 hours in advance.

If you anticipate any changes, please notify us at least 48 hours in advance.

Cancellations

  • More than 72 hours in advance: Full refund (minus credit card fees).

  • Less than 72 hours in advance: 50% of the session fee is retained as a cancellation fee.

  • Day-of or no-shows: No refund.


Rescheduling

  • More than 72 hours in advance: We’ll reschedule at no extra cost.

  • Less than 72 hours in advance: A rescheduling fee equal to 50% of your session fee will apply.

  • Day-of reschedule attempts: Treated as a cancellation, but we’ll do our best to work with you if possible.


If We Need to Cancel

If we must cancel due to unforeseen circumstances (e.g., illness, emergency, equipment failure), we’ll reschedule at no cost or issue a full refund—your choice.


By paying for your session, you agree to this cancellation and rescheduling policy.

Travel Fees

  • No Travel Fee - Most of Marion County, all of Hamilton County plus Tipton, Zionsville in Boone County. (Green areas on map.)
  • $50 - Boone County, Madison County, Tipton County. Hendricks and Hancock counties north of IN 40.
  • $75 - South donut counties of Morgan, Johnson, Shelby and Putman
  • $100+ - Contact me with address for quote

Preview galleries are typically posted within 3 – 5 business days after your session. Once you make your image selections, final retouched headshots are delivered within 4 – 6 business days. Turn around time is somewhat dependent on group size with larger groups taking more time and small groups taking less time.

  • Headshot photography with standing mid-body poses using a “loose” horizontal crop (waist up) offering greater image flexibility.
  • Photographed from different angles to make sure we get your good side.
  • One outfit per person and same background spot for everyone. Angles can be varied to make backgrounds appear different. Photo spots and outfits can be added if you don’t mind adding to your bill.
  • Studio / ambient lighting mix dependent on space.
  • Up to ten minutes per person.
  • Several previews per person via private group web gallery.
  • Custom handcrafted retouching by Mike – request welcome.

How much space is needed for On-Site Environmental headshots?

There is not a set required space for on-site environmental headshots. Environmental sessions are highly customized and each site is different. Add on a scouting visit for peace of mind.

Full payment is required to reserve your session date. This confirms your booking and holds your session date. Payable by credit card (processed by PayPal) or check. Payment is non-refundable. Any incurred extra fees are billed on a final invoice. Any remaining balance is due before delivery of final product. Images are currently delivered digitally via the web.

We get it, sometimes things come up and you may need to cancel or reschedule your on-site headshot photography session. We’re a professional photography business and we spend a lot of time and resources preparing for each session. When clients cancel, it can have a big impact on our income. So, to be fair to everyone involved, we’ve come up with the following cancellation policy: 
1. If you cancel your session more than 72 hours in advance, we’ll refund your 50% advance reservation fee (less credit card fees.)

2. If you cancel your session less than 72 hours before the scheduled time, we’ll keep your 50% advance reservation fee as a cancellation fee.

3. If you need to reschedule your session more than 72 hours in advance, we’ll do our best to accommodate you without any additional fees. Your 50% advance reservation fee will be applied to the rescheduled session.

4. If you need to reschedule your session less than 72 hours before the scheduled time, we’ll charge you a 50% rescheduling fee of the session fee you paid. Your 50% advance reservation fee will be applied to the rescheduled session.

5. If you need to cancel your session on the day of the shoot or fail to show up at the scheduled time, we will consider it a last-minute cancellation and your 50% advance reservation fee will be retained as a cancellation fee. We understand that unforeseeable circumstances may arise, and we will work with you to reschedule your session if possible.

6. If we have to cancel your session due to something unexpected, like illness or equipment failure, we’ll reschedule your session at no extra charge. If you prefer, we’ll refund your 50% advance reservation fee.

By paying your 50% advance reservation fee, you agree to the above cancellation policy. Thank you for your cooperation and understanding.

Headshots at Your Favorite Location. Usually Outdoors (Town Square, Forest Park, etc.)
$ 195 Individual Session - Cicero or Noblesville (* $220 for Alternate Locations)
  • Team Sessions Available. (Best for small groups.)
  • Outdoor sessions are great... until they're not. The sun, wind and weather can be a huge factor with location settings. The reward can be worth the risk. Best for singles or small groups.
  • Headshot session at an outdoor location such as parks, town centers, or urban areas. (Cicero, Noblesville, *Carmel, *Westfield, *Fishers, *Zionsville, and *North Indy.)
  • Ideal for clients who want a natural, approachable, or creative background.
  • Outdoors we're a bit more flexible. Typically multiple mid-body poses. Croppable to head and shoulders. Different angles to ensure success. We'll try a few different spots .
  • One outfit. Sessions last about 15 - 30 minutes.
  • One location choice. Multiple "spots" at a location may be available. Custom natural background based on your preference and lighting. Pick your location and we'll explore.
